Role of VLVT Systems

VLVT SYSTEMS LTD, 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ, United Kingdom (“VLVT Systems”) operates the VLVT platform.

For services provided to organisations using VLVT, VLVT Systems may act as a data processor on behalf of those organisations as data controllers.

For the VLVT member app and the operation of VLVT member accounts, VLVT Systems acts as controller for the personal data required to provide, secure and maintain the service.

VLVT Member App

The VLVT iOS app is an invitation-only member service. Depending on the features you use, we may collect:

Email Address — to create and authenticate your account, deliver sign-in messages and operate your membership.

Name — to identify you within VLVT and participating organisations with which you have a permitted relationship.

Photos — profile images that you choose to upload.

Other User Data — profile information you choose to provide — including dietary preferences, a companion name, a mailing address and a city of whereabouts — together with invitation responses and relationship and permission settings.

Device ID — a push-notification token for the device you are signed in on, so invitations and service messages can reach the app.

Other Diagnostic Data — technical logs when something the app attempted did not resolve, used to maintain security, reliability and performance.

Whereabouts is a city you set yourself. VLVT does not collect your device location. The camera is used only to scan invitation codes on your device; those images are not uploaded. You may add accepted invitations to Apple Calendar; VLVT does not read your calendar.

We use this information to provide VLVT’s functionality, maintain member accounts and relationships, deliver invitations and notifications, protect the service, provide support and improve technical reliability.

We do not sell personal data or use member data for third-party advertising or cross-service tracking.

Sharing and Member Control

VLVT is designed around selective, relationship-based access.

Member information is made available to participating organisations only where required for a VLVT relationship, invitation or other permitted interaction, and according to the permissions and visibility applicable to that information.

Service providers used to operate VLVT may process limited information on our behalf for infrastructure, authentication, communication, storage, security or diagnostics. They are required to protect personal data in accordance with applicable law and contractual safeguards.

When conversational identity intake is used, the text you type is sent to Google to propose profile fields. VLVT does not store that utterance. You review the proposal before anything is written to your VLVT ID.

When you speak instead of type, the microphone audio is sent to ElevenLabs to produce a transcript you can see and correct. VLVT does not store the recording. The transcript is then interpreted as typed text — Google proposes profile fields, and you review them before anything is written to your VLVT ID.

Data Residency and Security

Production data is encrypted at rest and stored in the United Kingdom.

Transfers of personal data are made only where an appropriate legal safeguard applies, including Standard Contractual Clauses where relevant.

We collect only information necessary to operate, secure and maintain VLVT and its services.

Retention and Deletion

Personal data is retained only for as long as required to provide the relevant service, maintain legitimate operational records, comply with legal obligations or resolve security and integrity matters.

VLVT members can delete their account directly in the app through:

Settings → LEAVE VLVT → Delete Account

Account deletion removes the member profile, invitations and organisation connections associated with the account. Certain anonymised operational records or previously issued credentials may remain where they form part of another party’s legitimate institutional record.

Your Rights

Individuals may exercise applicable rights of access, rectification, erasure, restriction and other rights provided under applicable data protection law.

Members may also manage profile information, permissions and applicable sharing settings directly within VLVT.
